Job Description

Job Purpose:

To support the Programs Department of OPERA America in the planning, implementation, and coordination of various on-site and off-site events, while providing comprehensive administrative support to ensure the smooth operation of the department.

Status: Full-time permanent, hybrid (this position is allotted a maximum number of remote working days per fiscal year).

Key Responsibilities:

Event Planning and Coordination:

  • Logistics Management: Coordinate logistics for all OPERA America events, including staffing, registration, and execution. Ensure seamless operations for both on-site and off-site events, often requiring availability during evenings and weekends.
  • Artistic Programming: Assist the Chief Programs Officer with the implementation and contracting for key events.
  • Catering Coordination: Manage on-site and off-site catering and beverage services for all OPERA America events, coordinating closely with the conference team for annual conference needs.
  • Production Support: Provide production assistance for all live and virtual events, including stage management and other logistical support as needed.
  • Program Evaluation: Assist in the evaluation of program effectiveness, gathering feedback and recommending improvements to enhance future events.

 

Annual Conference Production:

  • Conference Planning: Serve as a key member of the production team for the annual conference, sharing responsibilities for logistics management to ensure a successful event.
  • Script building: Work with department leadership to build scripts and workflows for the annual conference.

 

Administrative Support:

  • Office Management: Handle general office administration tasks, including responding to listserv and Programs Team distribution questions, ensuring event supplies are stocked, and facilitating payments for guest artists, speakers, and other vendors.
  • Event Calendar: Oversee the annual calendar of events, coordinating across departments to ensure timely preparation and execution of all activities. Communicate ongoing calendar updates to Chief of Staff.
  • Communication Facilitation: Ensure effective communication between OPERA America and National Opera Center staff to meet event requirements, fostering collaboration and information sharing.
  • Records Maintenance: Maintain and update calendars, contacts, and other records for the Programs Department to ensure accurate and accessible information.
  • Programs networks: Provide logistical and administrative support pertaining to the scheduling and execution of the various networks within the program.
  • Administrative Support: Providing support to all members of the Programs Department.

 

Qualifications

  • Experience managing events and programs.
  • Good communication skills.
  • Capacity to work collaboratively with a team.
  • Strong administrative ability.
  • Attention to detail.
  • Ability to work occasional nights and weekends for various events.
  • Familiarity and appreciation for the opera artform.

Pay Range: $60,000 Annual
