Production Stage Manager
• Reports to: Production Manager
The Production Stage Manager (PSM) is an active member of the Production department, with supervisory responsibility for the stage management team and stage management interns and fellows. The PSM serves as the AEA Stage Manager on Guthrie productions as determined by the Director of Production and Production Manager. This position ensures that the stage management requirements for all Guthrie productions and projects are met. This position is full-time and benefits-eligible. This is a year-round position. When working under an AEA union contract while stage managing a Guthrie production, this position is non-exempt and paid $1,752.00 per week. During all other weeks of the year, this position is non-union, exempt and paid $1,212.00 per week. The typical schedule for this role will vary based on the dynamic schedule of a theater. This person will work remotely until our building reopens at which time full-time in-person work is required.

PRIMARY DUTIES AND RESPONSIBILITIES
1. Stage Management
- Responsible for the scheduling of all rehearsals, costume fittings, photo and marketing sessions, etc. in accordance with Equity regulations, both before and after opening.
- Coordinate the dissemination of schedules and other show-specific information to the acting company, creative team, and relevant staff.
- Publish and distribute performance reports with pertinent show details and information in a timely manner following each performance.
- Calculate, report and submit Equity overtime incurred by actors and/or stage managers (SMs).
- Assemble and maintain the prompt book which includes the accurate play text and blocking.
- Together with the stage management team, create cue sheets, plots, daily records, etc., as are necessary for the technical and artistic operations of the production.
- When understudies are engaged, rehearse and put in understudies as needed.
- Responsible for communicating safety and emergency procedures to actors and crew and maintaining safe practices during performance and rehearsals.
- Keep a consistent and sensitive relationship to the live performance and model supportive morale for the cast and crew.
- Work with the director, designers and department heads to develop and maintain communication between the rehearsal room and the producing team (creative, production, administrative). This includes the daily creation and distribution of detailed rehearsal notes.
- Attend regular production meetings.
- When necessary, contribute and provide stage management support to a variety of Guthrie Theater one-off projects.
- Support an inclusive and open process in all work.
2. Leadership and Supervision
- Hire, manage and supervise stage management employees to fulfill the responsibilities of the department.
- Run regular stage management department meetings to communicate pertinent project information and communicate shared organizational commitments.
- Coach and develop staff members by providing constructive feedback; facilitate conflict resolution among employees; ensure adherence to legal and organizational policies and procedures and undertake disciplinary actions if the need arises; when required, complete all annual performance evaluations on a timely basis.
- Actively participate in team building fostering a work environment of Artistic Excellence, Community, Equity, Diversity and Inclusion, and Fiscal Responsibility.
- Using the organizational monthly check-in form complete monthly check-ins with all direct reports when appropriate within their contract.
- Ensure all pertinent information relating to areas of responsibility of all stage management staff is clearly communicated.
- Maintain and approve direct report timesheets, PTO requests, and other personnel records.
- Collaborate with SMs to create efficient modes of communication within and across departments. SMs are expected to stay current with communication technology used by the department and will be offered training as necessary.
3. Visiting Artist Support and Engagement
- Facilitate the communication between the design team and relevant Guthrie departments to establish elements for productions.
- Maintain the artistic integrity and intentions of the director after opening, to the best of their ability, including calling brush-up rehearsals when necessary.
- Consult with designers and production department members on any issues that arise during the rehearsal and production process.
- Attend production and design meetings and share pertinent information with stage management employees.
- Work with Production leadership to manage the stage management department budget to ensure effective utilization of financial resources.
- Project expenses and manage those expenses on a per-show basis.
- Analyze and monitor budget statements on a monthly basis. Prepare purchase orders and budget reports.
- Work collaboratively with other departments to determine and implement archival systems about each production for future reference.
- Develop and implement department paperwork and procedures.
- Collaborate with all Guthrie departments and act as liaison to all visiting SM staff and the Guthrie.
- Maintain the stage management supplies budget and ensure all SM materials are sourced and replenished.
- Work with the Director of Production to prepare and maintain capital expenditure lines.
- Assume active responsibility for the form and discipline of rehearsal and performances, and be the executive instrument on the technical running of each performance.
- Act as a liaison on interdepartmental projects.
ESSENTIAL KNOWLEDGE AND QUALIFICATIONS
- Experience of working in a LORT theater and an understanding of current best theater practices.
- Working knowledge of the collective bargaining agreements between IATSE, LORT, AEA, SDC.
- Prior experience as a Stage Manager in a similar-scaled organization.
- Experience of forming and managing relationships with visiting artists, staff and over-hire personnel.
- Experience supervising, mentoring and leading direct and indirect reports.
- Excellent creative judgment, communication and negotiation skills.
- Proficient skill in word processing and database preparation for information review, preparation, organization, and communication.
- Excellent time management skills.
- Ability to lead and/or supervise employees to get work done efficiently and safely.
- Demonstrated ability to communicate effectively and persuasively verbally and in writing on both an interpersonal and group level.
- Ability and willingness to exercise professional courtesy and discretion at all times and maintain confidentiality as required.
- Ability to delegate tasks to others in order to keep the flow of work moving forward at an efficient rate.
- Must be willing and able to work flexible hours/days, including evenings and weekends, reflective of the dynamic schedule of the theater.
