STATUS: Full-time/Part-time; one or two positions.

REPORTS TO: Artistic Director

LOCATION: La Pointe, WI (Madeline Island) – minimum eight weeks during the summer; surrounding community; Twin Cities, MN; remote possible.

SALARY RANGE: $40,000.00 – $80,0000.00 (One or two full-time or part-time positions commensurate with experience)

OVERVIEW

Madeline Island Chamber Music (MICM) is a nationally recognized chamber music education program located in La Pointe, Wisconsin, on beautiful Madeline Island. Each summer, MICM brings together exceptional young musicians from across the country to study with distinguished faculty in an immersive and collaborative musical environment.

MICM’s campus includes student dormitories, practice facilities, administrative and community spaces, and the historic Clubhouse performance venue, an intimate concert space accommodating audiences of approximately 100 guests.  The program serves approximately 75 students each summer, including both high school and college, who study and perform in chamber ensembles.  The current six-week structure enables students to attend for either one of two three-week sessions or the full six-week summer season and runs from late June through early August.

A renowned program with a 40-year history, MICM is led by Artistic Director Jonathan Swartz.  Beginning September 1, 2026, governance and operations of MICM will transition to an independent nonprofit Board of Directors, following a six-year period under the stewardship of the MacPhail Center for Music.

Madeline Island Chamber Music’s constituent communities include Madeline Island/Bayfield, WI and the surrounding area, Minneapolis/St. Paul, and professional musicians and young artists from around the world.

The Operations and Programs Manager(s) is responsible for the day-to-day operational execution of MICM, ensuring that the organization’s programs, facilities, and administrative systems function with clarity, coordination, and care.  This role(s) supports the realization of MICM’s artistic vision by translating programmatic needs into clear, well-coordinated operational plans and ensuring that all moving parts align effectively. This position(s) reports to the Artistic Director and works in collaboration with MICM Board Committees and external partners.

Primary responsibilities are for summer program operations and facilities management, along with year-round operational planning, financial administration, and organizational coordination, ensuring consistency, responsiveness, and high-quality experience for all participants.

The wide range of operational, programmatic, and organizational responsibilities may be well-suited for one qualified and experienced individual; however, the position may also be divided amongst two complementary candidates. JOB DESCRIPTION

Program & Admissions

  • Serve as the primary on-Island administrator during the summer season, ensuring safety, compliance, and high-quality student and faculty experience.
  • Oversee student logistics including travel coordination, housing assignments, health and safety procedures, daily operations, and student/family communications.
  • Manage faculty and guest artist logistics including contracts, schedules, housing, travel, stipends, and hospitality.
  • Hire, train, and supervise seasonal staff (approximately 8–10 team members), fostering a collaborative and student-centered work environment.
  • Respond to real-time operational challenges including facilities issues, schedule adjustments, and emergency procedures.
  • Manage the full admissions cycle including application systems, communications, audition logistics, financial aid review, and enrollment tracking.
  • Serve as primary operational liaison to Artistic Director and assist in coordinating program calendar and timelines.
  • Plan and coordinate all event details and logistics as it relates to week-long residency programs in the Twin Cities.

 Finance & HR Administration

  •  Manage day-to-day financial operations including accounts payables and receivables, check processing, invoicing, tuition collection and expense tracking.
  • Maintain bookkeeping system and perform monthly reconciliation in coordination with off-site accounting firm.
  • Administer payroll in coordination with off-site accounting firm.
  • Support Artistic Director in development of annual operating budget and multi-year financial projections.
  • Support 990 preparation with off-site accounting firm.
  • Maintain personnel records to ensure compliance with employment policies and procedures.

 Facilities & Property Management

  •  Oversee year-round maintenance, safety, and readiness of MICM facilities on Madeline Island.
  • Coordinate with local contractors and service providers on repairs, improvements, and seasonal openings/closings.
  • Maintain inventories of furnishings, instruments, equipment, and operational assets.
  • Oversee scheduling and calendar management for all rentals of the MICM Facilities, ensuring alignment with program priorities and organizational use.
  • Administer rental processes, including preparation and tracking of agreements, coordination of payments and internal logistics for each rental including facility access, space setup requirements, vendor coordination and any operational support needed to execute the event.
  • Conduct post-event facility checks and coordinate cleaning, maintenance, and issue resolution to ensure properties are maintained to organizational standards.

 Qualifications & Skills

  • Strong organizational, communication, and problem-solving skills with the ability to manage multiple priorities in a dynamic environment.
  • Ability to work extended and flexible hours during the summer season, including evenings and weekends.
  • Demonstrated ability to work collaboratively with artistic leadership, staff, faculty, contractors, and community stakeholders.
  • Experience coordinating operational systems, schedules, logistics, and facilities management.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, or Google for non-profits
  • Experience with QuickBooks or comparable financial/accounting software preferred.
  • Familiarity with databases, registration, or CRM systems preferred.
  • Ability to manage operational details with a high degree of accuracy, discretion, and follow-through.
  • Experience working in arts administration, education, nonprofit, hospitality, or seasonal program environments preferred.
