Advisory Practice Coordinator

Job Description
ABOUT THE ROLE
We are seeking a savvy, detail-focused Advisory Practice Coordinator to serve as the connective tissue of a growing, bespoke art advisory and curatorial practice firm. At heart this is a coordinator role: someone who keeps people, priorities, and client deliverables moving, and who uses today’s digital and AI tools fluently to do more, faster.
The ideal candidate is a true Swiss Army knife — versatile, adaptable, and energized by variety. They bring a flexible, optimistic mindset and a tremendous sense of ownership over their own performance and over firm-wide outcomes. They don’t just complete tasks; they make sure things get done across the team, that everyone is using the firm’s tools and following its processes, and that nothing slips through the cracks. Discretion, attention to detail, and professionalism are essential.
Reporting to one of the firm’s principals and supporting multiple leaders, this is a full-time, in-office position based in either Cambridge or New York.
KEY RESPONSIBILITIES
Executive & Administrative Support
- Manage a complex, evolving firm-wide calendar, including prioritization, alignment, and thorough meeting preparation for the principals
- Serve as a key point of contact among the principals, internal team, and external partners
- Manage expenses for the principals and ensure team has ongoing support for following reporting processes and troubleshooting
Client Deliverables & Coordination
- Personally produce and polish deliverables and client-ready materials
- Keep projects moving by coordinating across the team and following up until work is complete
- Maintain a clear, current view of what is in flight and what is at risk
AI Tools, Systems & Efficiency
- Use AI tools knowledgeably and safely to maximize efficiency — drafting, research, summarizing, scheduling, and streamlining repetitive work
- Spot opportunities to automate and improve how the firm works, and put them into practice
- Manage and maintain the firm’s software stack (e.g., Gmail, Slack, Dropbox, Asana, ArtLogic) and quickly master new tools
- Coordinate IT support between team members and external providers, and track hardware and equipment
Process & Team Accountability
- Champion adoption of the firm’s tools and processes, helping ensure everyone uses them consistently
- Onboard the team to shared workflows, deadlines, and standards — following up and surfacing gaps with tact
- Document and refine processes so the firm runs smoothly as it grows
- Act as a dependable and collaborative point of coordination that keeps people aligned and informed
Travel & Event Coordination
- Ensure professional travel for the principals is aligned and coordinated against firm goals and support team travel as needed
- Organize and document complex domestic and international itineraries across principals and time zones
- Manage event participation (art fairs, openings, and related engagements), including RSVPs and scheduling
- Coordinate dining, meeting logistics, and hospitality arrangements
QUALIFICATIONS
- 2–4 years of experience as an executive assistant, coordinator, or in a similarly versatile support role
- High level of discretion, confidentiality, integrity, and reliability
- Strong attention to detail
- Highly digitally savvy and genuinely fluent with AI tools (e.g., ChatGPT, Claude), with a track record of using them to work smarter
- Exceptional organization and follow-through, with the ability to juggle many moving parts independently
- A tremendous sense of ownership, over personal performance and firm-wide outcomes
- Flexible, adaptable, and positive mindset; thrives on variety and happy to be the team’s Swiss Army knife
- Ability to build trust and keep others accountable with tact and holding processes on track
- Comfort working in a hybrid environment/across a dispersed team
- Interest in art, design, or a creative/cultural environment is essential
COMPENSATION & BENEFITS
- Salary of approximately $70,000-75,000, commensurate with experience
