Job Description

Position Overview:

OSF company members work in a manner that is consistent with this commitment and work to interrupt behaviors that hinder our diversity and inclusion efforts.The Wardrobe Manager supervises the unionized Wardrobe Department, ensuring that the season is successfully implemented, sustained, and closed, including all performances, costume maintenance, and load-out. Provides vision, management, and leadership for the department and facilitates internal and external communications.

Principal Duties and Responsibilities:

1. Manages wardrobe personnel, including but not limited to:

a. Assigns and communicates work assignments to staff and manages the day-to-day schedule and workflow of the wardrobe staff.

b. Ensures wardrobe personnel understand and uphold OSF mission and values.

c. Ensures wardrobe personnel understand and comply with AEA guidelines and OSF wardrobe standard practices.

d. Ensures crew’s adherence to safety procedures and creates additional safety protocols when necessary.

e. Recruits, hires, performs performance reviews, manages progressive discipline, and orchestrates and organizes the on-boarding and off-boarding processes of wardrobe staff, FAIR participants, and volunteers.

f. Performs administrative tasks such as payroll, expense reports, and injury forms.

2. Models and supports the mission and values of OSF by:

a. Demonstrating inclusive behavior.

b. Maintaining a safe and anti-racist working environment.

c. Recognizing micro-aggressions and interrupting behaviors that hinder OSF’s Inclusion, Diversity, Equity and Access (IDEA) efforts.

3. Attends IDEA, sexual harassment, and any other anti-bias training and workshops as scheduled by the institution.

4. Manages the Wardrobe Department support of shows. Duties include and are not limited to:

a. Organizes and/or ensures organization of all wardrobe functions for individual shows, including working technical rehearsals, troubleshooting, and run crew documentation.

b. Ensures design integrity and quality control of the costumes throughout the season.

c. Ensures the maintenance and organization of wardrobe spaces and equipment.

d. Manages all aspects of the build and creation of understudy costumes.

e. Manages all aspects of the build and creation of rehearsal costumes.

f. Problem solving with Wardrobe Supervisor and Show Team, Costume Designer, Associate Costume Director, Wig/Hair Department Manager, Production Managers, Producers and other Production Departments, as necessary.

g. Collaborates and communicates with the costume department and costume designers to balance the show requirements with OSF resources to meet show and performer needs safely and efficiently.

h. Develops and advocates for Wardrobe’s annual labor, material, and capital budgets in the season budgeting process. Manages budgets throughout the year, keeping leadership apprised of any challenges.

i. Attends Production Meetings, show specific costume meetings; convenes department meetings and show specific wardrobe meetings.

j. Participates and actively engages in Collective Bargaining Agreement negotiations.

5. Collaborates, coordinates, and communicates with many internal stakeholders about wardrobe functions. Some examples include:

a. Costume Department: in regard to costume quick change needs and special care of costumes, resources, paperwork, rehearsal garments, cleaning and restoring of costume rental items, and production transfers.

b. Hair and Wigs Department: in regard to coordinating salon/makeup appointments with dressing order, collaborating on quick change choreography, understudy fittings, costume elements styled in wigs, etc.

c. Stage Management: in regard to AEA updates, run crew assignment needs, show breakdowns; keeping apprised changes to entrances/exit locations and run times; collaborating closely with quick changes prioritizing crew and actor safety, and specific needs for any given performance, understudy fittings, etc.

Other Duties and Responsibilities:

6. Assist in maintenance, transportation, and cleaning of show and rehearsal costumes.

7. Emergency understudy.

8. Responds to after-hours emergencies and participates in emergency response teams.

9. Represents OSF at organizational functions, and conferences when requested.

10. Advises and/or leads facility maintenance and improvement projects as appropriate.

11. Assist Development and Marketing departments (for example, occasional donor events or creating content re: quick changes for social media outlets).

12. Other duties as assigned by the Director of Production.

Supervision Exercised: Wardrobe Supervisors, Wardrobe personnel, FAIR participants, and volunteers.


Qualifications & Skills:

Work Experience: 5 years of experience in professional theatrical wardrobe, including experience supervising projects and/or people in the entertainment industry.

Qualifications/Skills: Expert knowledge of quick-change choreography and wardrobe track planning. Short term and long-term budget planning skills. Experience in de-escalating conflict using clear communication, both oral and written. Experience in all areas of costume construction including fitting, altering, and tailoring using industrial and home machines. Working knowledge using fabric and craft materials. Knowledge of safety standards for backstage and costume shops; using and providing proper safety equipment. Thorough knowledge of Microsoft Office (Word, Excel, Outlook). Comfortable using cloud-based information sharing systems.

Physical Ability: Lift and move costumes and equipment weighing up to 30 pounds occasionally, sit or stand for long periods of time with or without accommodation.

Other Skills, Ability and/or Knowledge: Ability to keep multiple projects moving forward simultaneously, meet deadlines and achieve long term goals. Ability to pivot and respond to last minute changes. Effective and motivational team leader. Confidentiality required.

Special Hours Requirements: Standard work week is Tuesday – Sunday. Night-time and weekend hours are regularly required. Significant overtime is required, especially during technical rehearsals. The ability to work overtime frequently, and at a short-time notice is required.


Experience working with unions and within the context of collective bargaining agreements. Attended EDI or anti-racist trainings. Experienced working in a repertory environment.
