About the Role

The Tanglewood Music Center is seeking a dynamic and highly organized Faculty and Guest Artist Liaison to join its dedicated team. This pivotal role involves acting as the central point of communication and support for the distinguished faculty and guest artists who contribute to the center’s world-class programs.

This position is located in Boston, MA at Symphony Hall from September to May, with the possibility of hybrid work during those months. TMC staff relocate to the Boston Symphony Orchestra’s summer home at Tanglewood in Lenox, MA from mid-June to late August. Housing stipend is provided.
Job Responsibilities

Contracts

  • Administer faculty and guest artist contracts
  • Implement visa requests as needed
  • Implement TMC commissions, including contact with publishers and agents in creation and execution of commission contracts as needed; track release of commissioning fees, honoraria and copying fees

Housing and Travel

  • Collaborate with the Berkshires Housing Coordinator and other BSO staff in planning and implementing arrangements for faculty and guest artist residencies at Tanglewood
  • Communicate housing and travel information to faculty and seasonal staff and address day to day concerns
  • Manage faculty/guest artist travel and rental cars
  • Manage summer arrival process for TMC faculty and guest artists
  • Book travel and accommodations for faculty during the TMC Vocal and Instrumental audition tours
  • Collaborate with the TMC Associate Director for Scheduling and Production on the dissemination of faculty and guest artist schedules for the Tanglewood season

Finances

  • Track of payments for BSO players for teaching, work as section representatives, and other TMC services and submit for processing
  • Process invoices, reimbursements, and payments for TMC vendors including faculty and guest artists
  • Act as budget manager for the department, coordinating information to maintain accurate budgetary and financial records, flagging problems or potential problems, tracking changes and adjusting as needed

Administration

  • Manage complimentary ticket requests and distribution for faculty and guest artists
  • Hire and oversee part-time summer staff including the Artist Assistant
  • Work with BSO Artist Liaison and in the coordination of shared guest artists
  • Assist with the proofreading of digital and print marketing materials referencing the TMC; collect corrections and communicate to marketing
  • Support TMC audition tours during the season. This may include travelling on audition tour.
  • On a rotating basis, serve as Manager on Duty for TMC concerts, coordinating with artists, production personnel, and front of house as needed

Required Education and Experience

QUALIFICATIONS

  • Knowledge of classical music and the classical music field
  • Proven written and oral communication skills
  • Ability to read music
  • Willingness to relocate to the Berkshires for the summer season
  • Excellent organizational skills
  • Ability to work collaboratively with a team and well as independently
  • Self-starter with good interpersonal skills, flexibility, and the ability to respond well in stressful situations
  • Experience managing travel and hotel itineraries
  • Experience working with international artist visas
  • Experience with budgets, ability to manage spreadsheets
