Part-Time Orchestra Administrator

The Lansdowne Symphony Orchestra seeks a highly organized, reliable, and communicative part-time Orchestra Administrator to support the day-to-day operations of the orchestra throughout the concert season and across the year. This position plays a central role in coordinating rehearsals, performances, ticketing, communications, subscriptions, publicity, and special programs.
The Orchestra Administrator reports to the Board President and Music Director and works closely with venues, volunteers, orchestra members, the Personnel Manager, vendors, audience members, and community partners to help ensure that rehearsals, concerts, and related activities run smoothly.

Location and Work Arrangement

Much of this role can be performed remotely. Regular in-person presence is required for rehearsals, concerts, and related events in the Delaware County, Montgomery County and Philadelphia area, so reliable transportation is necessary.

Key Responsibilities

The responsibilities below reflect the full range of needs across the season. We don’t expect one person to lead on all of them equally; specific priorities and areas of focus will be shaped collaboratively with the successful candidate based on their skills, experience, and interests.

  • Coordinate rehearsal logistics, including venue communication, scheduling support, access to rehearsal spaces, and related billing or invoicing coordination.
  • Support performance preparation by coordinating setup information, ticketing systems, venue communication, and day-of-performance logistics.
  • Assist with concert programs, including collecting program information, coordinating with designers and printers, and ensuring materials are delivered to the venue.
  • Support ticket sales and audience services at performances, including sales reporting and coordination with the Treasurer.
  • Assist with audience communications, email announcements, press releases, social media content, and physical mailings.
  • Support subscription fulfillment, subscriber communications, ticket mailing, and subscriber database coordination.
  • Build and cultivate a larger audience while maintaining strong relationships with existing patrons and subscribers.
  • Coordinate administrative aspects of the Young Artists Competition, including advertising, applications, audition logistics, and communication with applicants and families.
  • Assist with grant writing and sponsorship support by gathering materials, coordinating with the grant writer, and supporting grant reports and sponsor outreach.
  • Coordinate with the Personnel Manager on concert program musician listings and routine communication with orchestra members; this role does not hold personnel management responsibilities.

 

Qualifications

  • Passion for orchestral music and familiarity with performing arts operations.
  • Excellent organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to coordinate multiple deadlines, events, and stakeholders across a concert season.
  • Comfort using email, online ticketing systems (experience with Eventbrite a plus), basic office software, and social media platforms.
  • Ability to work independently, follow through on tasks, and communicate proactively.
  • Experience with arts administration, nonprofit organizations, music organizations, event coordination, or volunteer management is preferred.

 

Marketing

This position supports the orchestra’s marketing volunteer by coordinating content assets — such as photos, video clips, and short soundbites from the Music Director or musicians — on a reliable schedule, ensuring requested materials are gathered and delivered in time for use.

 

Schedule and Work Environment

This is a part-time position with hours that vary according to the orchestra’s rehearsal, five subscription concerts, and special event schedule. Some evening and weekend availability is required for rehearsals, performances, and related events. Hours will fluctuate somewhat with the production calendar — for example, concert weeks and audition periods may require additional hours, while quieter weeks may require fewer. We estimate this averages to approximately 20 hours/week across the season, August through June.

Compensation:
$20-$22 per hour, commensurate with experience. Currently no benefits.
