Job Description
- Position: Managing Director
- Classification: FT Employee
- Compensation: $40,000 – $50,000 Salary
- Location: 1446 Market Street, San Francisco CA 94102
This is a full time exempt position. Hours will be based around a 40 hour work week, additional hours during nights and weekends during events and productions. Salary is $40,000 – $50,000 annualized based on experience, other benefits include vacation (80 hours per year) and sick time per the employee handbook. This position will supervise one part-time administrative assistant for the coordination and organization of related programmatic materials and one part-time professional grant writer.

Responsibilities include, but are not limited to:
▪ Supports organization widespread administrative, operational, development, fundraising, and production related needs.
▪ Manages and works with company consultants, interns, volunteers, and contractors
▪ Present for all Board meetings and retreats. Coordinates Board activities; i.e. monthly board meetings, designing agenda, and tracking meeting minutes.
▪ Financial Development & Management:
- Budget Preparation: forecasting, scenario planning, and fiscal oversight of daily operations.
- Coordinate Bookkeeper: logging financial details/via DropBox management, assist with monthly reconciliations, check deposits, issuance, EOY closing and tax filing preparation. Weekly/Biweekly meeting with Bookkeeper.
- Annual Appeal & Additional Fundraising Management, working Little Green Light for our CRM database.
- Supervise & Coordinate Grant Writer: Grant Processing, Narrative / Final Report development, submission.
▪ Project Management:
- Project manager for EDT annual mainstage productions with hired team for events (ie. production manager)
- Strategic planning, production services, site management, vendor selection, vendor management, and finance management.
- Coordinate outreach opportunities and partnerships with AD and CED.
- Option for creative direction/development and co-curation.
- Apply for insurances and file organization annual non-profit compliance as needed per project, for employees, for the Board.
- Coordinates rehearsals with contracted artists and production personnel.
- AD and MD collaborate on the hiring process and evaluate artistic personnel including performers, designers, and production staff.
▪ Administrative Management:
- Support & Collaborate with CED & AD to design and launch monthly email newsletters via Constant Contact.
- Collaborate with CED & AD to plan, design social media (Vimeo, FaceBook, Twitter, Instagram, YouTube). Oversee calendar of planned outlets.
- Collaborate with CED to track analytics and assess market analysis on quarterly analysis / strategy with Admin Assistant.
- Manage Contracts: review and revise contracts for collaborations, performances, and state nonprofit compliance.
- Website maintenance with CED and web programmers as needed via WordPress and GreenGeeks applications.
- Maintain organization’s branding and mission overarching all public facing outlets and projects.
▪ Operations Management:
- Maintenance of strategic plans that meet business goals created by the Board and ET.
- Participation in regular budget reviews and periodic forecast updates with staff, Treasurer, and Bookkeeper.
- Maintain a culture of transparency and communication throughout the organization supporting diversity and equitable practices and methods.
- Develop positive relationships with community business districts, nationwide and international collaborative partners, and government agencies.
- Work in tandem with in-house and outsourced grant writers to develop and edit project narratives, final reports, and annual appeals for fundraising, social media, etc.
- Develops, implements, and evaluates programs throughout the year with AD and CED, developing annual program budget and offerings.
- Assists as a spokesperson for the organization’s artistic and fundraising purposes while managing any fundraising events and solicitations.
- Fosters the development of good relations with other cultural organizations.
- Supports the Board on a monthly basis and participates to give updates on all activities. Creates an agenda, takes notes at board meetings, and follows through with initiatives that are board driven and approved.
Candidates must be available for the following off hour production event:
- July Summer Camp at Children’s Creativity Museum in San Francisco
- 20th Anniversary of San Francisco Trolley Dances in October 2023
- 25th Anniversary Celebration Event (possibly Spring 2023 TBD)
