Job Description

Position: Group Sales & Guest Services Associate
Department: Guest Services
Reports to: Associate Director of Corporate Groups & Guest Services
FLSA Classification: Full-Time, Salaried, Non-Exempt
Salary Range: $50,000 – $55,000 (hourly equivalent of $24 – $26.44/hr) and overtime eligible after 40 hours within a work week.
Work Location: Downtown Seattle. The 5th Avenue Theatre administrative office is located within Skinner Building (1326 5th Avenue, Suite 735) and works partially remote.

Position Summary:

The Group Sales and Guest Services Associate works closely with our Associate Director of Corporate, Groups, and Guest Experience on any ticketing purchase of 10+ as well as with our corporate sales program, Direct Connect. They assist guests on the phone and via email and are also the main point of contact for student groups and developing our relationships with local concierges.

We are looking for candidates who demonstrate outstanding customer service and attention to detail, and who are team players, enthusiastic, articulate and have an interest in the arts.

 

Hours requirement

Typical schedule is Monday through Friday from 9-5:30pm however there may be some pre-scheduled evening and weekend hours required.

 

Primary Duties and Responsibilities:

  • Acts as point person for inbound group sales calls.
  • Acts as backup to general Guest Services inbound phone, email, and online chat support, based upon business needs. This may include single ticket and subscription ticket sales and exchanges and supporting The 5th’s fundraising efforts with simple donation requests during transactions.
  • Finalize group sales orders including issuing invoices, receiving payments and reviewing group sales reports for accuracy.
  • Create new Direct Connect Corporate offers in Tessitura and Umbraco and track usage in Tessitura Analytics.
  • Creates group sales documentation including cheat sheets and pricing grids to share with Guest Services staff.
  • Creation and processing of ticket donation vouchers for outside auctions and events.
  • Liaise with Seattle Hotel Concierge Guild and Concierge Guild of Seattle.
  • Coordinate student group visits and work with Education on special school performances when applicable.
  • Handle customer issues, or appropriately escalate to other personnel as needed.
  • Accurately count and balance received checks, cash and credit cards at the close of shift.
  • Support The Theatre’s fundraising efforts with simple donation requests during sales transactions, including explaining The Theatre’s donor benefits, specials, and offers.
  • Deliver outstanding customer service.
  • Answer guest questions promptly, accurately, respectfully, and thoroughly.
  • Provide assistance as needed on various administrative projects.
  • Contribute to a positive, supportive team environment where all staff members can be successful.

 

Essential Knowledge and Qualifications:

  • At least one year of successful customer service experience; sales experience preferred, and ticketing a plus.
  • Demonstrated success handling cash, checks, and credit cards.
  • Positive, outgoing, and friendly personality; a sense of humor a plus!
  • Able to work in an upbeat and often fast-paced environment.
  • Comfortable answering customer questions and patience to resolve customer service issues.
  • Tessitura experience desired or ability to effectively use this program within 90 days of on the job training.
  • Experience with some html a plus.

 

Physical Demands:

  • Ability to perform administrative work using a computer and other office equipment for extended periods of time.
  • Position is generally sedentary and the employee may sit for long periods of time working at a computer.
  • Position may require ability to stand for extended periods of time.
  • Ability to speak clearly and to hear/listen to employees/clients via phone or in person.
  • Lift/move up to 25 pounds periodically.
