Executive Assistant

Job Description
Reporting directly to the Vice Chancellor for Advancement (VCA), this position provides the highest level of administrative support and partnership to the VCA and the Associate Vice Chancellor for Advancement (AVCA). Working as a “right-hand” partner, the Executive Assistant’s responsibilities range from general office support and scheduling to administrative duties involving high-level decision making and judgement. Public contact is a major component of this position, both internal and external to the organization. Work requires interaction and partnership with other executive assistants across campus, faculty and staff, leaders of other units within the organization, representatives of other state agencies/universities, elected/appointed representatives, donors, volunteers, and the public. The Executive Assistant also acts as UNCSA’s official liaison with the Associates – UNCSA’s long-standing volunteer organization.
Executive Assistant
- Coordinate and manage the calendar and daily activities for the Vice Chancellor for Advancement (VCA) and Associate Vice Chancellor for Advancement (AVCA), including complex schedules, meetings, and logistics.
- Assist the VCA with communications with donors, boards, staff, etc, including drafting correspondence, agendas, and presentations.
- Establish and maintain strong relationships with staff in other offices of the University (Chancellor, Provost, Vice Chancellors, faculty, staff, etc.)
- Coordinate planning and logistics for Advancement staff meetings, retreats, monthly birthday lunches, Thanksgiving holiday, and other team gatherings.
- Maintain the Advancement Planning Calendar
- Provide support for various mailings, including those for holiday cards, end of year letters, etc.
- Work closely with the Business Manager to ensure appropriate technological support for meetings and general maintenance of the office.
Boards
- Provide administrative support for the Board of Visitors (BOV).
- Facilitate the Advancement Committee meetings for both the Board of Trustees (BOT) and Foundation Board.
- Serve as liaison and assist in the planning and organizing of regular meetings, and represent the VCA at BOT, BOV and Foundation planning and debrief meetings.
- Assist with board communications by drafting letters, emails, agendas, reports, presentations, etc that facilitate and communicate the VCA’s goal(s).
Associates
- Serve as primary contact for Associates Board
- Attend all Associates Board meetings
- Serve as primary administrator for Volunteer Software
- Serve as campus advocate and faculty/staff liaison for Associates
- Provide admin support as needed (meeting reservations, IT support, copies, etc.)
