Job Description

The Development and Administration Manager position is an opportunity for an energetic arts enthusiast to support arts programming at Dance Loft on 14. This position is both strategic and tactical and will work closely with the Executive Director. The Manager will be a core team member with essential responsibilities in our facility-based programs and services, working under the direct supervision of the Executive Director. The Development and Administration Manager will manage development and administration efforts while creating new strategies to reach and convert patrons and audience members. The incumbent will have a core role in ensuring the quality of Dance Loft’s studio operations, which are foundational to our many programs. As a core team member, the Manager will often collaborate and assist with other core activities including DL productions, classes, educational programs, summer camp development and marketing.

 

Responsibilities Include:

Development (60%)

  • Actively engage with Dance Loft staff and members to truly understand the mission and vision and to gather stories about Dance Loft community members for use in development communications
  • Serve as the primary POC for all mid- and small-level individual donors
  •  Provide input to the Executive Director in the process for updating existing development and stewardship plans with new ideas, industry best practices, and data-driven analysis
  • Help to ensure a robust gift pipeline big enough to hit annual revenue goals by actively managing prospective and current donors, foundations and other funders solicited via proposals, grant applications, multiple appeals, and other fundraising activities
  • Create and maintain the annual development calendar
  • Work with the Executive Director to craft thoughtful, tailored, and strategic grant requests that complement Dance Loft’s other fundraising efforts
  • Work with the Executive Director to ensure the punctual submission of all grant applications and reports
  • Work with the Executive Director to conduct prospect research to ensure Dance Loft has a robust pipeline of local, regional, and national grant opportunities to pursue
  • Track all grant work in Dance Loft’s CRM to ensure all grant opportunities and tasks are current and well-detailed
  • Support the Executive Director with external and internal fundraising communications
  • Support bi-annual prospect mailings to individual donors
  • Create and Design printed fundraising resources
  • Serve as the lead for logistics for Dance Loft fundraising events
  • Work with the accounting team to track budget income and expense for restricted grants including our building campaign.
  • Submit periodic budget reports to donors as directed by the Executive Director.
  • Prepare financial grant attachments as needed.

Business Operations (20%)

  • Work with the accounting team to record income and expense budget categories on a monthly basis.
  • Administer on-boarding and off-boarding documents required when staff enter or exit the organization including legally required documentation and tax forms, healthcare, retirement and other benefits. Maintain confidential employee files.
  • Oversee data collection and devise success/impact metrics, in collaboration with other staff.
  • Oversee SalesForce database.

On-Site Studio Management and Administration (20%)

  • Serve as rotating Manager on Duty along with other staff members, opening or closing the facility as appropriate, answering client questions and problem-solving on site. Upkeep Facility as needed during shift (light cleaning, restocking, inventory, floor taping, and studio set-up)
  • Support (with other team members) in answering Dance Loft office phone and direct inquiries
  • Participate in Dance Loft and rental performance, productions and events to document for social media and other purposes, and to support staffing needs
  • Contribute to ongoing improvement and growth of processes, operations, and team development at Dance Loft
  • General support and staffing of Dance Loft programs including Field Trip programs, Summer Intensives, Dance Loft and Moveius productions.
  • Share responsibility as emergency point of contact for rentals and events that fall outside of normal business hours.
  • Maintain working knowledge of the given schedule at DL14 for a season. Foresee conflicts (with youth classes, adult classes, events, etc.) and in the event of conflict, work with the DL team, and members when necessary, to create solutions.
  • Represent Dance Loft at community events sharing information about the organization externally and sharing information internally to maximize organizational integration with community members.
  • Update Studio Phone message when there will be a studio closure, federal holiday or another occasion when a specific message will be necessary.

Minimum Requirements:

  • College degree in Business, Communication, Liberal Arts, Arts Administration, Theatre/Dance, and/or related field. Masters’ is a plus
  • Appreciation of Dance, Theatre, and the performing/visual arts required
  • 3 years experience in Development, Grant Writing, and Communications
  • Expertise in communicating brand messages through social media platforms
  • Ability to communicate well in written and verbal English is required; second language proficiency is desirable in Spanish, French, or Amharic
  • Proficiency with Microsoft Office, Internet Explorer and Google, design software including Adobe and/or Canva, social media including Instagram, Twitter, Facebook and LinkedIn, mass email clients such as Mailchimp or constant contact, patron databases, and Squarespace Knowledge
  • Ability to carry 50 pounds

Skills Required:

  • Superior writing and editing skills
  • Outstanding written and oral communication skills
  • Excellent database skills, experience with Sales Force a plus
  • Accustomed to working on multiple projects with different deadlines simultaneously
  • A stickler for details and quality
  • A caretaker of sensitive information about donors, Dance Loft members, etc.
  • A strong self-motivator
  • An advocate for accessibility to the arts
  • Self-starter who does not require supervision to accomplish tasks of a high quality
  • Strategic thinking and creativity
  • Ability to provide stellar customer service
  • Desire to serve artists and community members
  • Strong organizational skills and attention to detail

Schedule

This is a full-time exempt position. The general schedule of this position will be Sunday-Thursday. This position will serve as on-site Manager on Duty on Sundays and one weekday per week with hours that fluctuate with the studio schedule. Other days of the week will generally be 9-5 or 10-6. This staff member may work from home one weekday per week but will otherwise be on-site. Schedules do shift in the performing arts and hours may shift or a full week of on-site work may be necessary (with notice.) Flexibility is appreciated.
