Engagement Coordinator

Job Description
The Thoma Foundation is seeking a full-time Engagement Coordinator to oversee and support the Foundation’s art and scholarship outreach initiatives, as well as administrative leadership.
Candidate Profile
The Engagement Coordinator plays a vital role in advancing our Foundation’s mission through strategic outreach, robust administrative support and systems management. This position serves as an outward-facing representative and essential backbone for our organization. Ideal for a recent graduate with an advanced degree, this role offers diverse responsibilities spanning communications, database administration, and office operations in an entrepreneurial environment.

Responsibilities
Engagement and Outreach
- Manage contacts and contact database, ensuring each record is complete, categorized and database is consistently updated.
- Working with Communications and PR team, develop a strategic engagement plan that includes press and key contacts at arts and education organizations.
- Research and create target list of key contacts for future outreach and engagement opportunities.
- Monitor and report on engagement and communications activities (i.e. contacts added to database, event attendee logs.)
- Track and organize scholar data.
- Draft and edit correspondence (hard copy and email), memos, capture meeting notes, end of day updates, and presentation materials.
- Assist with creative and design projects.
Meeting, Event and Program Support
- Serve as point person and host for all Foundation guests.
- Coordinate logistics: order supplies, print materials, prepare and clean up after meetings.
- Manage and coordinate calendar through frequent and clear communication with internal team and external guests
Administrative Leadership
- Founder support: manage calendar and provide ad hoc support when Founder is in office
- Office support: vendor management, scheduling appointments, manage meetings, greeting guests, ordering and stocking supplies.
- Processing expenses
- Handles and distributes mail and packages
- Run ad hoc errands and fulfill special requests as assigned.
Qualifications
- Bachelor’s degree required. Recent graduates with advanced degrees encouraged to apply.
- 3+ years prior experience working in a similar role supporting a communications, marketing or PR team.
- Excellent proficiency with Apple products, PC, Microsoft Office Suite and Adobe Creative Suite.
- Outstanding verbal and written communications skills; values extensive documentation.
- Excellent contacts and calendar management skills
- Openness to a wide variety of tasks on the administrative spectrum (pitching in to accomplish any task dealt).
- Demonstrated initiative and ability to work in a fast paced, constantly changing environment.
- Must be prepared and available to periodically assist outside of regular business hours for tours and Foundation-related events.
- Ability to juggle multiple tasks without compromising accuracy.
- Curious and resourceful to seek out answers and solutions
Location
Full-time and in office at 1925 Cedar Springs Rd. Monday through Friday, 8:30am to 5:30pm. Periodic after hours support required for tours, Foundation and Founder events.
