  • Department: Production
  • Reports to: Senior Director of Production
  • FLSA Classification: Full-Time, Salaried, Non-Exempt
  • Salary Range: $54,080 – $58,240 (hourly equivalent of $26 – $28/hr) and overtime eligible after 40 hours within a work week.
  • Work Location: Downtown Seattle. The 5th Avenue Theatre administrative office is located within Skinner Building (1326 5th Avenue, Suite 735) and is remote.

 

Position Overview:

Working within the Production Department, the Artist Services Coordinator supports show Personnel needs for all productions, events, and other internal projects. The primary role of the Artist Services Coordinator is facilitating housing, travel, and hospitality for all shows and events, support rehearsal room and tech operations, production documentation, and internal and external communication.

The 5th Avenue Theatre is a member of LORT (League of Resident Theaters), and produces on a LORT A stage, including educational performances and tours.

 

Primary Duties and Responsibilities

  • Model and support the mission and values of The 5th Avenue Theatre.
  • Attend all staff DEIA trainings.
  • Arrange and book artist travel and housing for all shows, events, casting, etc. at The 5th Avenue Theatre.
  • Provide top level hospitality for events such as first rehearsal, tech, opening nights, tour and show personnel meals, etc.
  • Provide organizational support and welcome materials for visiting artists, including backstage credentials, neighborhood information, and local transportation options.
  • Assist and arrange for departmental or show postage and shipping, such as oversized artist items, tour trunks, welcome bags, other housing amenities, etc.
  • Greet visiting artists at the airport and housing as necessary.
  • Support injured and/or ill company with things such as physical therapy, doctor’s appointments, transportation to urgent care/emergency room.
  • Schedule and arrange physical therapy.
  • Provide administrative support to the Production Department, including but not limited to ordering supplies, run errands, tracking finances, auditions/callbacks, and show-prep paperwork.
  • Manage and process artists and creative reimbursements, vendor invoices, and other miscellaneous billing.
  • Liaise with Guest services to assist artists with ticket throughout their time at The 5th.
  • Assist in maintaining accurate production specific and company-wide safety protocols and postings including, Emergency Contact Forms, Incident Forms, and other related materials.
  • Attend production and/or event specific meetings, such as production meetings, post preview notes sessions, kickoff meetings, etc.
  • Ability and willingness to exercise professional courtesy and discretion at all times and maintain confidentiality as required.

Essential Knowledge and Qualifications

Work Experience

Training and experience in a hospitality and/or operation-based role such as Stage Management, Company Management or Production Management.

Competencies

  • The ability to deliver projects and deliverables on time in a safe and efficient manner.
  • Basic understanding of budgeting practices and expense tracking.
  • Ability and willingness to exercise professional courtesy and discretion at all times and maintain confidentiality as required.
  • Attention to detail and ability to keep multiple projects moving forward simultaneously while exercising good judgement.
  • Strong written and verbal communication skills (English primarily).
  • Some knowledge of one or more theater crafts is useful but not necessary.
  • Strong working knowledge of Microsoft Office.

Special Hours Requirements

Work schedule varies and includes some early morning hours, frequent evening and weekend hours as well as many weeks in which more than 40 hours are required.

Physical Requirements

  • Ability to perform administrative work using a computer for extended periods of time; up to 8 hours a day. Ability to stand and work for long periods of time on foot.
  • Ability to work while seated for extended periods of time, up to 14 hours a day, in order to monitor technical rehearsals in a theater.
  • Lift/move up to 25 pounds periodically.
  • Required to stoop, bend and reach with arms.
