Job Summary:
Reporting to the Assistant Director for Arts Programming, the Arts Program Coordinator supports Harvard Ed Portal Crossings Gallery exhibitions and other arts programs (70%) and provides event staffing, operational, and administrative support to other programs and teams at the Harvard Ed Portal (HEP) (30%). The Harvard Ed Portal is a hub for community engagement between Harvard University, the City of Boston, and the Allston-Brighton community. The HEP offers free programs on-site, as well as scholarships and on-campus opportunities for Allston-Brighton residents and other community members. Ed Portal programs include arts and culture, youth mentoring, workforce and economic development training, health and wellness programs, and more.
Within the work of the Ed Portal, the Arts Program has a primary mission of activating, supporting and expanding north Allston-Brighton’s cultural destination through creative efforts in the public realm. The Arts team develops and runs programs that support and amplify local artists, creatives, and cultural workers, ranging from networking events and workshops to a year-long professional development program. The Arts Program also connects performing, visual, and teaching arts experiences with all-age audiences from Allston-Brighton, Cambridge and beyond. To do so, the program team cultivates strong relationships with internal Harvard partners and community partners throughout Greater Boston. Additionally, the Arts Program identifies arts and culture programs and resources within the University and makes them available to the public.
Position Description:
A key component of the HEP Arts Program is the Crossings Gallery, a street-level space that hosts a rotating roster of exhibitions featuring work in a wide variety of disciplines by emerging community and University artists. The Arts Program Coordinator assists the Assistant Director for Arts Programming in curating the gallery and supports the team administratively. The Coordinator may periodically oversee the work of support staff, students, temps, and volunteers. In total, Arts Program-related work accounts for approximately 70% of the Coordinator’s time.
Duties include:
- overseeing gallery exhibition design, installation, de-installation, and documentation
- planning exhibition events and programs in consort with exhibiting artists or guest curators
- maintaining gallery operations, equipment, interactive stations and supplies
- facilitating the delivery of Arts Program initiatives including a year-long Artist Pipeline Program and youth workshops
- coordinating the marketing and operations for Arts Program events, workshops and programs with colleagues, artists and partners
- conducting scheduling, project tracking, contracts and finances for the Arts Program
The Arts Program Coordinator also serves as a member of the HEP Operations team. The Operations team provides support across program areas and works to ensure that the HEP is operating smoothly. In total, Operations-related work accounts for approximately 30% of the Coordinator’s time.
This work includes:
- staffing events, which may include early morning, evening, and occasional weekend times
- lending support and/or providing coverage to members of the team (including periodic front desk coverage)
- representing and describing the Harvard Ed Portal and its programs to members of the public
- a wide range of complex and sometimes confidential administrative and clerical duties to support programs, events, scheduling, finances, and the day-to-day operations of the Harvard Ed Portal
- communicating with and providing services to a wide range of internal and external constituents related to the facility, outreach, community programs, and related activities
- anticipating and resolving problems, and updating the relevant manager on project statuses
The successful candidate will be a highly organized and efficient administrator who demonstrates initiative, tenacity, willingness to learn, a sense of humor, grace under pressure and flexibility in their work while also maintaining a focus on support and service to the many constituents served. The successful candidate will be independently motivated, invested in community art, have a keen eye for detail, and be able to manage multiple priorities and projects with different supervisors with professionalism.
Basic Qualifications:
- Two or more years of experience working in an office setting and public-facing and/or events capacity
- Flexibility to work daytime, evening, and occasional weekend hours as program needs dictate
- Ability to pass a CORI/SORI check
- Ability to pass a Microsoft Office and computer skills test
Additional Qualifications and Skills:
- Experience and/or familiarity with the arts (through work experience, education, or artistic practice)
- Ability to work independently, multi-task, and balance shifting priorities in a dynamic environment
- Strong verbal and written communication skills
- Experience working in a gallery, museum, or other visual arts setting
- Experience in arts administration, community engagement, arts activism or artist support.
- Experience working in higher education
- Experience working with a culturally and linguistically diverse community
- Familiarity with Allston-Brighton and/or Harvard University
- Demonstrated ability to manage relationships and cultivate partnerships over time
- Bachelor’s or graduate degree in an arts-related field
- Proficiency in Spanish, Portuguese, and/or Mandarin
Working Conditions:
Harvard Human Resources actively supports hybrid work where business and team needs allow. This is a five day per week position with a hybrid schedule. Paid Time Off:
