The Department of Music and Dance at the University of Massachusetts Amherst invites applications for an Academic Advisor and Honors Program Coordinator.

Job Summary

The Academic Advisor and Honors Program Coordinator manages all undergraduate student advising for the Department of Music and Dance and all course scheduling for the music program. The position oversees the Department’s Honors Program, including ensuring honors course availability; serving as the Department’s primary contact with the Registrar’s Office and the HFA Advising and Career Center; and establishing excellent and timely communication with these units, faculty, staff, and students.

Essential Functions

  • Advise students, individually and in group sessions, in registering for appropriate classes each semester to satisfy requirements for the music major, music minor, College and University degree requirements and departmental honors, if applicable. Refer students, as needed, to appropriate campus support services.
  • Assist with submission of grades for fall and spring departmental grade rosters as necessary (may include independent studies, practica, chamber ensembles, recitals, honors research/projects/theses, etc.). Advise faculty regarding University grading policy, and keep faculty and staff informed regarding the Department’s undergraduate programs in music. Assist with advising in dance.
  • Clear majors and minors three times per year for May, September, or February graduation dates in accordance with the University calendar.
  • Track student progress each semester to ensure compliance with grade point average requirements for music education licensure, scholarships and awards, and other purposes. Work with departmental faculty concerning transfer credit issues. Maintain regular communication with studio faculty about students, especially with regard to ensemble participation.
  • Maintain up-to-date and accurate program information in print and electronically, including, but not limited to, communicating web site updates to the webmaster, maintaining a departmental listserv for communicating with undergraduate majors and minors, etc.
  • Attend all Department music audition days to answer questions / make presentations concerning undergraduate curricula to prospective students and their families.
  • Maintain strong general knowledge of University and College degree requirements and academic policies. This includes:
    • staying informed of updates as well as of undergraduate curricular changes and initiatives within the College and the University;
    • communicating to the Department Chair new academic and curricular policy initiatives that could impact the Department’s undergraduate curriculum and faculty teaching duties;
    • collecting, consulting with Chair about, and forwarding as instructed, departmental questions and concerns regarding academic policy to the College and/or University administration when appropriate;
    • remaining current with FERPA and student database training (currently SPIRE and EAB SSC).
  • Serve as Music Scheduling Officer, in consultation with Department Chair. Track and consult with the Department Chair (as well as with Undergraduate Curriculum Committee and faculty when appropriate) on departmental undergraduate course delivery, including sequencing issues, scheduling conflicts, and coordination with non-music required courses (i.e., psychology for music education majors). Assist the Department in addressing such issues in consultation with the Department Chair.
  • Participate in the planning of and attend Department, College, and University undergraduate events, such as new student general meetings, graduation events, convocations, and honors receptions. Represent the Department at the University’s Open Houses for prospective and accepted students respectively and at the University’s Majors Fair. Serve as ex officio member of the Department’s Undergraduate Curriculum Committee.

  • Perform related duties as assigned or required to meet Department, Executive Area/Division, and University goals and objectives.
  • Understand responsibilities with respect to Title IX, Clery and other compliance requirements.
  • Demonstrate capacity, skill and willingness to engage students and contribute to student success.
  • Understand responsibilities with respect to conflicts of interest and behaves in ways consistent both with law and with University policy.
  • Contribute toward creating a positive and respectful workplace defined by personal and professional competence, integrity, and collaboration.
  • Understand and contribute to implementation of departmental and institutional goals for achieving non-discrimination and creating a respectful, inclusive environment that is supportive of diversity.
  • Use access to sensitive and/or not yet public university related information only in the performance of the responsibilities of position and exercises care to prevent unnecessary disclosure to others.

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Bachelor’s degree in Music with at least 2 years of relevant professional experience.
  • A deep understanding of the music discipline and musical training, as well as a general knowledge of the dance discipline, for the purposes of guiding students effectively through their plans of study and of determining appropriate courses to satisfy degree requirements.
  • Evidence of an ability to work collaboratively, to take direction, and to consult on all aspects of the job with the Department Chair and music and dance area faculty.
  • Ability to work independently and to prioritize and complete multiple complex tasks with different timetables and deadlines in a busy and complex environment and to work as needed evenings and weekends.
  • Ability to build relationships with a record of being an engaged, thoughtful, and extroverted communicator who is capable of relating effectively to a wide range of constituents, including students, faculty, and staff, in music and dance and beyond.
  • Demonstrated ability to utilize word processing, spreadsheet, and database programs effectively.

Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Experience in a higher education academic environment.
  • Master’s degree in Music with at least 2 years of music advising experience in higher education.

Additional Details

Report to Chair of the Department of Music and Dance. Provide guidance to Undergraduate Academic Coordinator (Clerk IV).

Work Schedule

  • 37.5 hour work week. Typical work schedule is Monday through Friday from 8:30am to 5:00pm.
  • Required to work some nights and weekends as needed.
