Marketing & Public Relations Assistant
Reports to: Marketing & Public Relations Manager
Status: Full Time Regular Exempt
Supervision Exercised: Yes
Position summary: Under the direction of the Marketing & Public Relations Manager, this position is responsible for assisting with the execution of a comprehensive public relations campaign for the company, focusing on gaining and increasing media exposure to assist in achieving the company’s earned revenue goals.
• Bachelor’s degree in marketing, communications, public relations or related field;
• 2-3 years of professional experience in PR, marketing or media, and development; experience with non-profit or arts organization desired;
• Excellent interpersonal skills required;
• Strong oral and written communication skills required;
• Professional style and commitment to the organization;
• Must be able to effectively interact with a wide variety of people and able to prioritize and manage a heavy workload;
• Familiarity with the Microsoft Office Suite and social media management tools;
• Familiarity with Tessitura preferred but not required.
Essential Job Functions
• Public Relations
o Serve as REP point of contact for coordination with media contacts.
o Assist in developing and executing PR strategies on a per show basis along with the Marketing & Public Relations Manager
o Pitch stories to relevant media outlets to fulfill strategic PR goals.
o Manage media interviews and coordinate media coverage.
o Create and maintain clipbooks for all REP productions.
o Serve as project manager for all REP press releases including revision and distribution.
o Ensure image and voice of REP’s communications are in line with the vision of the Director of Marketing and Communications.
o Identify media outlets to cultivate targeted audiences.
o Assist in social media strategy.
o Maintain press contacts list and develop new media contacts.
o Create press packets for Opening Nights.
• Graphic Design
o Assist in creation and deployment of ad & mailing campaigns.
o Collaborate with different departments to gather show playbill material.
o Place orders for REP collateral materials
o Track the Marketing & Communications department’s expenses to maintain accurate budgeting.
o Develop daily sales reporting and inventory reports.
o Extract and manage lists from Tessitura for marketing efforts.
o Archive all marketing materials and press clippings.
o Manage special projects and events, as directed by the Marketing & Public Relations Manager.
o Paper houses as needed.
o Maintain familiarity with REP productions.
o Coordinate The REP’s invited dress rehearsal performances.
o Assist Audience Engagement Curator and Community Partnerships Ambassador with Audience Engagement efforts
o Staff events as needed.
Physical Demands and Work Environment: Mobility and sensory capability required for the organization of events, computer utilization, telephone access and communication, communication one-on-one and in meetings. Indoor work environment is climate controlled and has moderate noise levels. Reasonable accommodations will be made to enable individuals with disabilities to perform essential job functions. Must be able to lift 20 pounds and sit or stand for long periods of time. Work will include some long hours, evenings and weekends. Access to reliable transportation and valid CA driver’s required.
